Receptionist/Admin Assistant
Responsibilities
? Answers, screens and extends phone calls, forwarding message as needed
? Receives, delivers and sorts mail, EMS/express, etc.
? Greets and directs visitors to waiting area or forwards visitors to relevant contacts and register every visitors by sign in and out following company’s protocol;
? Updates internal contact list
? Guides employees with entrance access
? Responsible for booking travel arrangements including airline ticket, hotel reservations and making transport arrangements as request
? Inputs travelers information into traveling system for international trips
? Coordinates with travel agents
? Purchases, distributes and manages office supplies and stationery
? Organize and help to maintain the stationary supplies in Conference room use, and provides assistance in conference room booking, and maintain the clean of conference use;
? Checks bills and related payment applications
? Maintains and cleans office environment; checks and monitors cleaner’s work
? Places office supplies in order, maintains workstations, makes and updates table tablet for every workstation
? Books and schedules meeting rooms
? Assists to organize company events and activities
? Assists in new hire on board and exit clearance;
? Checks attendance and timesheet, coordinating with timesheet submission
? Other ad-hoc tasks as assigned by the company’
岗位职责
1、负责公司来访人员的接待, 登记,电话的接听、信息传达,快递收发;
2、负责职场管理,包括会议室安排、茶歇室使用等;
3、负责办公物资的采购、发放维护管理,及账单核对;
4. 负责为公司员工差旅做预订、修改、用车预定及协调;差旅系统输入及信息更新维护;
5. 协助公司策划及落实公司活动;
6、监督各项行政制度的执行及落实情况;
7、协助人事完成公司员工出勤记录的提报及汇总;
8、其他相关员工入职离职相关手续及其他人事协助工作。
9. 经理及公司领导交代的各项工作

任职资格
1、大专以上学历,行政管理、文秘及相关专业;
2. 中英文流利
2、一年以上企业前台或文秘岗位工作经验;
3、熟练使用Office办公软件及办公自动化设备,普通话标准,能听懂上海话,熟悉档案管理;
4、具有良好的沟通、协调、表达能力,性格沉稳、待人礼貌周到,服务意识强;
