Responsibilities:
Travel Organization for Partners & other consultants & related visitors
-Book hotels, flights
-Refer to financial policy, submit Partners and other consultants' travel and daily expense to finance department
Meeting Arrangement for Partners
-Organize/coordinate internal and external meetings
-Prepare necessary documents for meetings/events
- Liaise with clients to arrange meetings, interviews and site visits when necessary
Time Management
- Input consultants' timesheet records in due time
-Update Partners' working calendar
- Record other consultants' working schedule upon their information
Documents Preparation for Partners
- Create and edit PowerPoint presentations with graphics, graphs and charts, process and format
documents (using Excel and Word etc), filing and binding, upon request
- Arrange the transportation for client meeting upon request
- Prepare drafts of letters, memos, faxes, reports, meeting minutes upon request
- Maintain an efficient filing system
- Occasionally translate between Chinese and English upon request
Incoming and Outgoing Correspondence
- Handle internal and external phone call/email/mail/fax appropriately with on time follow-up
- Upon the incoming call/fax/mail, bring to the attention of Partners and other consultants any important issues for action
Office Administration
-Assist in organizing company activities (eg. company annual dinner, annual outing arrangement and
team building activities etc.)
- Order stationeries and pantry supplies
- Negotiate with external service suppliers (eg. for air-ticketing, hotel booking, locations for meals etc.)
upon request
- Perform duties as Office Receptionist upon request
- Arrange business cards
- Assist in Partners, other consultants and visitors' relocation (eg. moving, house searching, etc.)
- Visa application & extension, work permit application & extension (currently shared by TA, in future to
be centralized by one person)
- Assist in ad-hoc tasks as assigned
