Main Purpose of the Role
The Commercial Assistant will carry out work for both the Commercial function and Office admin function for RMI Beijing office and will offer appropriate assistance to service team. The main duties include assistance with the preparation of correspondence, reports, tenders, marketing materials, other documents and the management of office operations and systems, including keeping records, filing (electronic and hard copies), processing mail, interacting with vendors, updating contact information, and managing office calendar and activities, telephone answering, meeting and greeting visitors.
Principal Accountabilities
? Provides interpretation and translation services including manual translation, strip-down report translation.
? Draft contracts and Assist in tender documents preparation & compilation
? Provide commercial invoice, Packing List Translation, Quality Certificate & Origin Certificate per customer requirement
? Answers telephones, routes calls, takes messages, and provides general information; greets and directs visitors; answers routine inquiries.
? Opens and routes incoming mail; distributes correspondence and other material to appropriate people.
? Performs a variety of routine typing assignments as appropriate to the position; may draft basic correspondence, enter data, and print letters, labels, reports, and/or other materials; creates and mails form letters.
? Monitors tender release documents from relevant websites
? Copies materials as requested; sends facsimiles.
? Establishes, maintains, processes, and/or updates files, records, and other documents.
? Schedules appointments, books meetings, Conferences, international and domestic travel.
? Orders, stocks, and/or distributes office supplies and maintains equipment, arranges sub contract services ie water, maintenance, printing, computer services, cleaning.
? Ensures office decorum is maintained including plants and rubbish removal
? Organizes meetings; takes minutes
? Adhere to company policies and procedures relating to health and safety, quality and environmental management

Qualifications/skills/knowledge/attributes
1. A command of the English language to a minimum level CET 4/6, excellent oral and written skills

4. PC literate with experience of EPT systems; emphasis on Microsoft Suite products.
