Summary of Position
The Executive Assistant portion of this position provides administrative support to the President of Thinkwell Asia in order to relieve her of as much of the administrative detail work as possible. Daily work-load contains a broad range of complex responsibilities involving confidential information, maintaining schedules, developing and reviewing travel arrangements, reviewing and evaluating mail, compiling reports, interfacing with production and administrative staff, furnishing information, scheduling meetings and preparing agendas, responding to routine correspondence, researching background material, and responding to visitors and telephone calls. Individual must exercise considerable judgment and discretion in completing assignments. Accompany the President to meet with the clients to interpret when necessary, establish and maintain good relationship with the clients.

The Office Manager portion of this position oversees administrative procedures and processes for the company; coordinates and directs administrative support functions for the company. Implement policies and procedures for production of documents, workflow, filing, ordering of supplies, records maintenance, and other administrative & clerical services. Uses independent judgment in completing activities and operates under general supervision. Directly participates in company administrative decision-making; establishes, implements, and enforces office policies and procedures, and sets workflow priorities and standards. Performs tasks which require advanced skills in organization and planning, in-depth knowledge of company operations and objectives. Supervises travel coordinator to make sure all company travel arrangements are properly done. Provides services to colleagues who travel from LA to Beijing. Keeps payment records of company petti cash and credit card. Negotiates good rate and service with the service providers, such as hotel, restaurants nearby, car Rental Company, air tickets agency, etc.


Primary Functions and Responsibilities
1. Provide both translation and interpretation services for the President and when necessary provide the same for other team members.
2. Forecast and resolve conflicts, arrange meetings and conferences.
3. Receive and screen communications to the President including telephone calls, mail, and e-mail messages. Provide assistance using independent judgment to determine those requiring priority attention; prioritize, channel, and facilitate communication to and from the Partners.
4. Travel with the President when needed.
5. Compose and prepare correspondence and organize presentation materials as directed.
6. Interface with executives and support staff for meetings, presentations, etc.
7. Develop and implement office systems and procedures to support the President’s needs while managing daily administrative operations of the company including establishing work priorities; assist in resolving problems related to the day-to-day operations of the company
8. Responsible for the overall operation of front desk reception and facility maintenance and functions as the primary liaison to maintenance team.
9. Plans and supervises the maintenance of the company inventories including but not limited to, office and kitchen supplies and storage rooms, keys and key distribution, dead file storage, off-site storage, etc.
10. Assist, track and coordinate special projects as assigned.
11. Manage support staff appropriately to handle the following:
a. Maintain appointment schedule and calendar for the President; schedule and coordinate meetings and take notes during both internal and client meetings.
b. Oversee and make travel schedules and plans, prepare and distribute itineraries.
c. Be the contact person with visa agency handling foreign employees’ visa and work permit, as well as assisting to handle residence permit.
d. Maintain central company calendar.
e. Collect required travel documentation, prepare and process expense reports in adherence to established travel policy guidelines.
f. Maintain filing system and conduct research as directed.
g. Research and negotiate with vendors and make recommendations for purchases and leases.
h. Supervise travel coordinator to support the office.
i. Other duties as assigned.
