Summary of Position Responsibilities:
The Receptionist is responsible for supporting and assisting the Administrative Operations Manager with office administrative works, office-supply vendor relationships, tracking contracts and renewals, and preparing spending reports so that spending can be measured against contracts, agreements and budgets for the designated office.
The responsibility of the Receptionist is to provide clerical and administrative duties for the Administrative Operations Manager for the designated office.
The Receptionist will follow regular 09.00 - 18.00 daily working hours Monday through Friday.
The orientation and ongoing on-the-job training will be provided by the Administrative Operations Manager.
Major Position Responsibilities
1. Handle incoming calls professionally, taking messages subject to necessity and urgency
2. Responsible for receiving and disseminating incoming/outgoing mailings, couriers
3. Responsible for business traveling arrangement including local hotel bookings and airport pick-up/send-off service for FIT travelers with Bentley authorized hotels and service providers
4. Prepare Purchase Requests for facilities services and goods.
5. Collect electric bills and enter relevant facilities/utilities expense figures in the Corporate Environmental database to track Carbon footprint for the designated office under the guidance of Administrative Operations Manager.
6. Maintain files, excel sheets, and databases for the designated office that track office-supply vendor purchases, services, contracts and maintenance for the designated office. Such services include, but are not limited to: internet, telecom, conferencing, office maintenance, office supplies and real estate.
7. Maintain technical service contractor contact list for the designated office for internal equipment repairs. Coordinate troubleshooting, repair, and payment.
8. Assist the Administrative Operations Manager in the responsibilities for contracts with utilities, telecom, and internet when Bentley makes acquisitions by obtaining necessary invoices and contracts, contacting service providers, preparing paperwork for address and name changes, routing for legal approval if necessary.
9. In coordination with the Administrative Operations Manager, obtain quotes and approvals for facilities services works defined and outlined by the Administrative Operations Manager. Oversee scheduling of work for such services.
10. Monitor Office Supply inventory, place orders and cross-check invoices for the designated office under the direction/supervision by the Administrative Operations Manager.
11. Handle Customs Clearance for in-take of deliveries for the designated office under the guidance of Administrative Operations Manager and attend to other admin tasks required by Administrative Operations Manager.
Required Skills:
? Oral and written communications skills and proficiency including fluency in English.
? Organized and analytical.
? Ability to do research, organize information, report findings, and make recommendations.
? Proficient in MS Word, Outlook, Excel
? Ability to work well with office-supply vendors, internal customers, and global Corporate facilities team.
Desired Skills
? Computer skills and the ability to learn new applications on their own
? Experience in office administration and customer service
? Detail oriented
? Basic knowledge of logistics
? Ability to set measurable goals and meet deadlines
