Role & Responsibilities

To be overall responsible administration for NGB station to ensure a smooth, effective and safe work environment for all associates in adherence to administrative guidelines and procedures issued by the company management team.

.To operate with a positive mindset and a willingness to support the business the station to deliver the best possible results for the company overall.

. To proactively delivering results better than budget in terms of cost saving and service levels.

.To manage and support the process of accommodating the growth and further optimization of the company facilities.

. To communicate with SHA admin team to ensure the best practice sharing.

. Drive productivity and costs across the NGB station through better and smarter ways of doing things.

.Reduce fixed costs.

. Constantly optimize the balance between cost to serve and service level to get the best value for money.

. Driving profitability through innovative work processes that reduce cost and meet client's expectations.

.Ensure all claims are responded to timely and proactively to minimize Agility's financial exposure to service recovery costs.

. Coordinate projects across departments as one team when needed.

.Responsible for equipment as well as manning of switchboards and receptions with a high service mindset towards all out internal and external customers.

.Responsible for the operation of the office's copy machines, printers, faxes, etc hereunder purchase of consumables (toner, drinking water) and maintenance.

.Establish and maintain inventory records for all office equipment.

.Manage the relationship with suppliers of office equipment

.Responsible for satisfactory office security as per company policies, all systems and procedures related to security.

.Responsible for all fixed assets registration and coordination of utilization.

. Ensure that general administration tasks such as flight bookings, etc. are handled properly according to policies and with due consideration to costs.

.Plan, prepare and execute larger events and visits, hereunder cross functional meetings in close coordination with the local management team.

. Maintain administrative working files in a current and orderly manner.

.Identify and implement efficiency improvements within the organization through the continuous replacement of manual work with proper electronic solutions.

.Ensure compliance to local laws as well as local regulations.

.Ensure constant care in all matters.

. Make suggestions for improvement and constantly evaluate as well as propose enhancement in your work.

. Take initiatives for proper, timely action in all respects and manage priorities to ensure work deadline achieved.

.Always strive towards improvements, rationalization, innovation and team spirit.

.Others HR related assistant job upon local station needs.
