Purpose of the position
? Providing support for daily shipment consolidation and efficient load planning of capacity within Company policies and procedures
? Ensure high accuracy and productivity of all Operations output and perform all in view of our Operational Excellence.
? Execute the tasks of the Document Processing Administration department in line with current guidelines and procedures.


Key Tasks
Consolidation
? Collect production forecasts from the CS teams
? Place booking with carriers on day to day capacity needs
? Issue Loading Plan for DP and subcontractors
? Provide deviaition reports to CS and DP teams
? Administer proper file opening / closing / checking and preparation for archiving
Capacity Utilisation
? Optimize usage of capacity to the best fit T/T requirement of customer and cargo load factor
? Liase with Area Procurement / Gateway Manager of forecasted allocation needs with carriers
? Feedbacks to Area Procurement / Gateway Manager on cargo mix and utilization of BSA
? Inform Gateway Manager of any irregularities and problems that require assistance
Performance, Statistics and Incidents
? Preclaim with carriers on incidents including damage I missing cargo
? Update and inform Area Procurement / Gateway Manager on carriers and subcontractors performance
? Maintain statistical records on everyday shipments on respective tradelane
? To take up additional tasks as assigned.
Document Processing Administration
? Issue Invoices internally and do job costing
? Interlace with Subcontractors/Agents on to be created and received invoices
? Interface with Panalpina Stations on queries regarding received and created invoices.
? Verify and visa incoming invoices
? Administer outgoing invoices.
? Coordinate administrative tasks with other internal departments.
? Update required (internal) applications.
? Ensure correct and timely filing of processed hardcopy files in line with relevant SOP(s).
? Execute all activities in line with current Area Guidelines and SOP(s).
? Take up additional tasks as assigned.
? Back up for other team members when necessary.


Decision Making Authority
  BSA and Capacity load planning under guidelines of Procurement
? Making decisions in view of IMS processes.
? Taking actions in view of operational excellence.
? Exception handling only after consulting with Gateway Manager

? Extensive experience in Airfreight and Logistics
? Consolidation Knowledge and experience
? Good knowledge on local customs regulation
? Knowledge on local custom regulation
