POSITION GOALS:
To deliver high quality, efficient and professional administrative services to the team in order to support a fast moving and dynamic international business and to provide a cooperative working environment within the team.

EMPLOYEE SPECIFICATIONS:

* Strong organizational skills that reflect ability to perform and prioritize multiple tasks with excellent attention to detail
* Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
* Proven ability to adaptable to various competing demands, and demonstrate the highest level of service and response
* Excellent interpersonal skills, dedicated, responsible, good team spirit
* Bachelor degree, preferably in a top level university
* Proficiency in oral/written English
* Proficiency in Microsoft Office Applications, i.e. Word, Excel, PowerPoint, Access, Outlook
* At least 2 years of relevant working experience in a multinational organization

DUTIES & RESPONSIBILITIES:

Provide superior administrative services

* Secretarial and administrative support to department head on daily operation, appointments, business travel, expense claim, etc.
* Proactively manage all administrative tasks for all members of the team (i.e. expense claims / travel and meeting arrangements etc.) as measured by qualitative feedback on initiative from team members to direct manager.
* Establish Master Database & keep updating.
* Attend internal business meetings when necessary, take meeting minutes and distribute to relevant person in time. Schedule appointment and coordinate arrangements for meetings, workshops and conferences, follow up on timely delivery by the team members.
* Administer stationary supplies and make orders as necessary.
* Collect and submit expense statements for the team by the end of each month.
* Responsible for all e-based submissions which include updated project track records, project data, etc.
* Support on project specific topics such as marketing event, campaign, etc.

Contribute to the growth of company

* Develop, document and distribute internal and external best practice. Provide instances.
* Assist team member on marketing team projects in the aspects as required by manager.
* Assist with the creation of the department / managers employee survey action plan.
* Assist regional as well as local initiatives as required by manager.
* Complete employee satisfaction survey before the final date.
  
Meet assigned financial targets

* Assist department head with revenue forecast on monthly base.
* Draft and follow up monthly Debit Note. Working close with team members to recognize revenue on time and assist them for further necessary payment procedure.
* Assist Team members on controlling team Administrative Costs in respect of Stationery/Travel and other relevant sectors to meet reasonable operation budget.
