Job Responsibilities
Team Support
? Support a team of Executives with a full spectrum of secretarial work
? Coordinate info & logistics preparation for domestic/overseas trips, meetings
? Assist in processing claims, invoices and other administrative matters such as visa application, name card, etc.
? Translate documents where necessary
? General ad-hoc duties assigned from time to time.
Administration
? Stationary/pantry products requisition
? Office environment /security/ equipment maintenance
? Assist in organising corporate activities such as teambuilding events
? Preparation and mail distribution of Chinese New Year and Christmas cards, etc.
? Assist in company business certificate maintenance/registration update at various authorities
? Assisting in Payment Process, including consolidating payment requests, and preparing payment instructions for review and processing
? Other ad-hoc office administrative matters assigned from time to time.
Requirements
? Min. 5-6 years of experience providing full secretarial support to management level and a team, preferably from investment and private equity companies background
? Excellent written and spoken English
? Proactive, confident, positive working attitude and good team player
? Good IT skills to assist in presentations and reports preparation
? Meticulous, detail oriented and able to work independently
? Driven/motivated individual, prepared to work hard and put in overtime to complete tasks when needed
? Be open to carry a work electronic device and respond to urgent work emails outside of working hours, when required.
