HR Assistant – Contractor
Location: Shanghai, China
Reporting to: HR Manager or Associate HR Manager
PURPOSE:
Provide HR operation service to associates and organization, include the administration, coordination and management of HR operations to enable business growth and delight customer experience.
KEY RESPONSIBILITIES:
HR Administration;
1. Responsible for employee onboarding and offboarding process, by interacting with company’s vendor, functional department and employee.
2. Follow up with administrative process of internal HR practices, including labor contract renewal, OT, etc.
3. Coordinate visa application, work permit application and other expatriates related routine work.
4. HR Helpdesk to provide assist to managers and employees with the operation of HR systems, including Oracle, Workday, Danaher Connect, Career Portal, Taleo, etc. For example, resolve system log-in problems and provide general guideline about the tool usage.
5. HR Helpdesk for employment or visa-related letters, including on job certification, visa dispatch or invite letter, etc.
6. Logistics support for Employee Awards (including Global Reward and recognition program, service awards program, etc.,)
7. Interact with Finance and Admin contact in providing monthly Staff List, Bank Details reports, C&B accrual reports, Quarterly Leave Balance report, etc.
8. Other local legislated HR–related tasks, including Flexible working hours application and maintenance; annual labor inspection documents preparation.
9. Org chart update per the people movement and new HC information provided by HR Manager
10. Coordination and logistics support for HR trainings including Orientation and other HR organised trainings.
11. Responsible for P-filing, HR ShareDrive Management
12. Interact with business and other functional department, including Finance, Admin. and IT to ensure we deliver good service to the team
13. Other Admin. Adhoc duties on request
C&B Administration:
1. Responsible for coordinating with external vendors to accurately & timely handle monthly payroll & benefits
2. Main point of contact to answer questions & resolve issues with payroll & benefits
3. Be responsible for new hire commission base information collection and providing Report on YTD earning for incentive calculation
4. In charge of payroll records and relevant C&B document filing under the supervise of HR Manager
5. Other C&B administrative support including annual merit increase letter print and distribution, filing, etc., as required
HRIS Systems Administration:
1. HRIS systems maintenance.
2. Leave Management
3. Provide regular HRIS data reports to and HR counterparts
4. HR-related intranet maintenance
5. Other HR related web / database maintenance
EDUCATION / EXPERIENCE:
? College Degree or above.
? Fluent in English – both verbal and written
? Min. 2 year related working experience
? Good communication skill
? Strong interpersonal skills
? Pro active, quick learner and team player
? Strong HR system experience, detail oriented.
