Logistic Coordinator (Zhuhai)
Summary of Position:
Thinkwell Asia design studio is on a look out for a bilingual Logistic Coordinator. This role will be working on-site for one of our projects in south of China. The Logistic Coordinator is responsible for administration support, travel coordination and IT operation.
Primary Functions and Responsibilities:
1.Set up site office (fit out, furniture and IT).
2.Provide administrative service to the daily operation.
3.Coordinate and help to organize the internal and external meeting.
4.Process the supplier's contract and payment request follow up.
5.File for expense report in Deltek for Thinkwell team members.
6.Manage agendas/travel arrangement and accommodations/appointment etc. for both Thinkwell team and trade partners.
7.Liaise and be the contact person with the Travel Agent.
8.Review the monthly bill which provided by the travel agent and car rental agent, check the total price, add notes and code for senior’s review.
9.Review the monthly bill which provided by FEDEX, Express, check the total price, add notes and code for senior’s review.
10.Track stocks of office supplies and place orders when necessary.
11.Assist office staff in maintaining files and databases.
12.Manage multiple third party vendors.
13.Plan and Implement disaster recovery options.
14.Performance monitoring of multiple servers.
15.Network security and remote access.
16.Responsible for tracking hardware and software inventory.
17.Document technical systems process and procedures.
18.Maintain security audits & reports of server access and activity.
19.Install OS for windows computer.
20.Install software both in windows and Mac OS, as AutoCAD, Adobe, sketch up, sample network troubleshooting.
21.Perform after hours/on-call support as necessary.
22.On-site working in Zhuhai for 2 years.
Knowledge and Skills:
1.Demonstrate fluency in English and Mandarin Chinese language.
2.Presentable, excellent communication and interpersonal skills.
3.Ability to work independently and be self-motivated.
4.Detail oriented, multi-tasking, self-driven and well organized.
5.To be Flexible, efficient, dedicated, responsible and motivated team-player.
6.Ability to maintain confidentiality of sensitive information.
7.Knowledge of cultural factors that may have an effect on communication.
8.Ability to exercise calmness in stressful situations.
9.Ability to work well with individuals at all levels of the organization.
10.T&L experience an asset (e.g.: reservation, written communication, administration skills, attention to detail, reliability, etc.
11.Advance computer/Microsoft office skill, such as Word, Excel, PowerPoint and etc.
Minimum Job Requirements:
1.Bachelor’s degree in Administration, English or Electronic Information Science and Technology.
2.Above 3 years’ relevant working experience.
