POSITION PURPOSE
The Admissions Coordinator is primarily responsible for the assessment of applications and facilitates the selection of students for Deakin University. This role is expected to proactively support the International Admissions Manager or the Senior International Admissions Coordinator in facilitating a positive working relationship within the team, and proactively manage relationships effectively with relevant internal and external stakeholders, and may be required to travel interstate and overseas.
POSITION CONTEXT
As a member of the Deakin China Office, the Admissions Coordinator contributes to the University’s goal of internationalisation. This position reports to the Deputy Director and understands educational systems for their specified geographic areas. The area operates in a very high volume, fast paced environment and is at the coalface of the admissions of Chinese students of Deakin University. T
This position reports to the Deputy Director and has position has regular contact with the Marketing Managers, International Quality and Compliance, members of the Faculties, Deakin College, Deakin University English Languages Institutes (DUELI), international students, international recruitment agents and relevant government and sponsorship bodies.
PRINCIPAL RESPONSIBILITIES
1. Develop a comprehensive knowledge and provide advice to applicants, agents and University staff about Deakin’s study options, specific admission requirements and compliance with relevant international policies and procedures particularly those relating to selection and admission of international students.
2. Assess and process complex applications from a diverse range of channels, as well as the management of the operations for those channels from international students for admission into Deakin University programs.
3. Liaise, develop and manage positive working relationships with students, agents within an allocated market segment, Faculties, Schools and other relevant stakeholders involved in international student admission matters.
4. Monitor workload relating to the allocated market segment and assist the Deputy Director in workload management for the team by identifying and reporting any trends that may affect workload.
5. Identify process improvement opportunities to reduce turnaround times and increase conversion, implement improvement, apply independent decision making, and be a source of expertise in contributing to mitigating risk for SSVF within the applicable market segment by embedding compliance requirements within effective international admissions processes.
KEY DUTIES
1. Assess complex student applications, determine admissions suitability based on set entrance requirements and present detailed relevant information from on-the-ground sources, research or International Managers, and make recommendations to Faculty Selection Officers based on student qualification analysis.
2. Assist the Deputy Director to implement and maintain high standards of customer service during the international admissions life cycle in the area of application procedures, entrance requirements, overseas student health Cover (OSHC) and other related services to International Admissions.
3. Monitor the processing and turnaround times for student applications for your market segment within the region, identify any areas of concern and make recommendations for improvement as appropriate.
4. Ensure all documentation is accurate, up-to-date and line with ongoing quality assurance and compliance requirements including the review of promotional materials to ensure accurate admissions information.
5. Generate offer letters, issue visa documentation and send documents for all students at all stages of affiliation with Deakin University using ESOS legislation and Streamline Visa Processing (SVP) knowledge to ensure accurate student visa applications are processed, and information to students provided.
6. Maintain up to date working knowledge of key legislation, policies and procedures relevant to international students.
7. Contribute to promoting a positive team culture.
8. Any other duties as directed, commensurate with the scope and classification of the position

SELECTION CRITERIA - ESSENTIAL
Training/Qualifications:
1. A degree with subsequent relevant experience or
2. Extensive experience and specialist knowledge or broad knowledge in administrative field or
3. An equivalent combination of relevant experience and/or education/training

Experience:
1. Demonstrated experience of working effectively in a busy office environment with large volumes.
2. Demonstrated experience of effective teamwork and ability to work under minimal direct supervision.

Skills/Techniques:

1. High level administration skills including ability to monitor work processes meet deadlines and set priorities.
2. Strong customer service orientation and proven experience in relationship management.
3. Demonstrated experience in the assessment of international qualifications and/or experience in the tertiary education sector in an area related to international students.
4. Proven ability to manage heavy workloads and maintain accuracy in a complex and demanding work environment.
5. Well-developed organisational, planning and problem solving skills including the ability to exercise judgement and initiative in resolving disputes and/or difficult situations.
6. Highly developed interpersonal and written communication skills with the ability to work collaboratively with colleagues and staff at all levels of the organisation.
7. Comprehensive experience in using computer applications including databases, Microsoft Office suite of programs and web technology.
8. High level of accuracy and attention to detail.
