Purpose of the position
Assistant for office management To work together with Receptionist to ensure office duty in order
Key Tasks
?Answer all incoming phone calls
?Greet and receive guests and visitors, dispatch the visitor label to visitors for identification
?Unlock and lock the Reception Door every morning and after office hours and make sure the door can only be opened by using staff card
?Consolidate all stationery orders from all departments secretaries and prepare monthly summary report for approval from the Management
?Administer the bookings of Meeting Room & Training Room
?Coordinate for office facilities/equipment working in good conditions, such as faxes, copier, beamer, water dispensers, air-cons, furniture’s, etc.
?New supplier set up and supplier management
?Assist office relocation or decoration
?Fix asset management
?Support for HSE implementation and act as backup of BU HSE delegate;
?Update monthly HSE data and General Expenses report to Area or others if any;
?Take up additional tasks as assigned and act as back up for Receptionist / Executive Assistant if necessary
?Monthly Payment. Cleaning fee , water fee, rental fee, express fee,etc.

?Keep the key of office
?Other tasks assigned by Line Manager/District Manager when necessary

? Ability to handle people of all levels.
? Dedicated to details
Educational background / Work experience
? Junior college or above; major in English or Admin
? At least 1 year working experience in relevant field
Language skills
? Good command of English & Mandarin both in written & spoken
Computer Literacy
? PC literature especially in Outlook, Word, Excel & Power Point
