DUTIES & RESPONSIBILITIES
COMMUNICATIONS & MAINTAIN CLIENT RELATIONSHIPS
· To maintain and manage the Client/Agent/Partner relationships as well as meet service level requirements.
· To develop and maintain solid relationships with Government/Immigration authorities as well as obtain updates related to China immigration laws if any changes.
· To handle operational work and communications involving VIP assignees or VIP clients
APPLICATIONS / SUBMISSIONS
· To ensure timely preparation of immigration documents
· To coordinate and work closely with Immigration Consultant / Assistant / Administrator to ensure that relevant applications / submissions are filed to the Public Security Bureau (PSB), Labor Bureau, Trade Commission, Police Station, Medical Center, Notary Office, Embassies, Consulates, High Commission and any other authorities as required.
HARDCOPY FILING & ADMINISTRATION IN ACCORDANCE TO ISO9001 and ISO27001
· To use and update Santa Fe’s system on a daily basis promptly and accurately as per KPI requirements related to immigration services.
· To guide and coach each immigration personnel to use Santa Fe’s system effectively as per KPI requirements relevant to immigration.
· To manage the filing and administration of immigration clients including handling personal documents / information with extra care and maintain confidentiality as per ISO27001.
OTHER ADMINISTRATIVE DUTIES
· To prepare all reports as requested by the Account under your care.
· Prepare service fee quotes, immigration process flows, procedures, presentations and any information or data requests by clients, partners or Santa Fe stations.
· To follow all process, working procedures and policies of internal work flows as determined by Management.
· To meet clients / accounts / agents / partners
Inquire about other possible services for customers and pass such information on to the corporate sales departments.Assist where required and perform any and all special tasks or duties directly related to Santa Fe’s business activities as requested
· To travel to 2nd and 3rd tier cities if required.
QUALIFICATIONS
1. College or above degree
2. Must have at least 3 years of visa & immigration experience
3. Good computer skill, MS office, Outlook, etc.
4. Fluent in English and Chinese both in writing and oral
5. Customer service experience
6. Good communication / negotiation / organization skills, pro-active, can do attitude and team work, problem /conflict resolving skills
7. Attention to details
