职位描述
GENERAL SUMMARY:
l Be responsible for all aspects in Architecture & Construction administration works
l Tender document support
l Government construction & fire fighting application
l Final site inspection support
l Architecture & Construction central filing management /Construction drawing & specification
l Architecture & Construction meeting minutes
l Architecture & Construction travel and expense budget & reimbursement
l Construction procurement PO and payment control
l Store maintenance tickets follow up
ESSENTIAL DUTIES & RESPONSIBILITIES:
l Construction Tender document support
ü GC and suppliers on boarding, Due diligence/ FCPA etc.
ü Tender document prepare and issue, maintain the standard tender document.
ü Collect bidding document from contractor and supplier.
l Contract & Payment Management
ü Draft CA&C contract and submit to legal and finance for review.
ü Place payment when project manager received material on site.
ü Place PO to suppliers according to construction drawing.
ü Monitor all warranty period, and remind project manager to conduct warranty inspection.
l Construction Report
ü Gather project report from Architecture /Construction project managers and provide weekly project status report to CA&C director.
ü Monitor all store maintenance issues, and provide update report to CA&C director weekly.
l Final Site Inspection Support &Central Filing Management
ü Prepare the final inspection document, collect all the government permit before store opening.
ü To build central filing system to make sure that construction drawing, specification, contract, PO, payment, government permit etc will be kept well.
l Department Expenses Control
ü Arrange for the staff travel and relevant issues, provide low cost option for project managers.
ü To collect the expenses reimbursement claim forms for approval.
l Others
ü To organize meetings as required by the department, prepare materials and taking meeting minutes.
ü Assist department colleague to do translation.
ü To establish & organize department team building.
ü Coordinate and deliver company's activities information to departmental staff.
REQUIREMENTS & QUALIFICATION:
l Major in Office Administration or project management.
l Good oral and written communication skills.(English & Chinese) and high skilled in computer .
l Able to work under own initiative.
l Strong job responsibility, mature, and have team spirit.
l College graduate, or above.
l At least 5 years experience in a related field.
