Reports to: Genenal Manager
Key Responsibilities (But not Limited):
HR Part:
- Hiring staff to meet the business needs
- Review, update and develop company policy and procedures in compliance with local laws and regulations
- Handle start and exit process including preparing employment contract, offer letter, release letter, etc.
- Liaise with corporate HR team for global projects
- Handle work permit and residence permit for expatriates, assist with travel visa applications and travel arrangements; provide assistance with relocation services
- Organizing company team building events
- Manage the attendance records and leave balance
Admin Part:
- Run general office administration including coordination of IT, Legal, and office management
- Coordinate with outsourced accounting agent in terms of bookkeeping, tax claim and payroll functions.
- Deal with bank: cashier, reconciliation, balance management
- Update corporate licenses and annual review
- Assist with issuing invoices to clients and follow up on outstanding payments
- Supervise office administration and junior staff (as needed)
- Negotiate office leasing contract and manage the whole process of fit-out projects (if needed)
- Source and manage vendors, including travel, printing, office equipment and furniture and negotiate corporate contract
- Manage office fixed assets including purchase, maintenance, disposal
- Manage petty cash, office expense and analyze admin cost
Qualifications:
- Bachelor’s degree preferable
- Must be proficient in both spoken and Written English and Chinese
- Minimum 8 years solid experience in HR/Administration/Office Operations function in international companies across different sectors
- Strong communication skills with various departments vertically and same functions horizontally
- Comprehensive knowledge of facility management, sourcing and vendor management, and HR operation
- Able to work independently with minimal supervision
- Professional presentation skills;
- Able to speak at all levels of an organization and represent the company’s values and direction.
