Department Description:
International Event
Tasks Description
- Managing complexer events
o Event initiating from involvement in budget planning to administrative
processes (approvals etc.)
o Gathering and alignment of event requirements
o Consulting and recommendations (locations, preferred partners), work
closely with PMs
o Classification of events following predefined “event classification”
(decision of service level and scope)
o Evaluation, negotiation management of vendors in close contact with
strategic procurement and in a cost effective way Monitoring and control
of suppliers and agencies and assuring compliance
o Detailing of event schedule incl. monitoring and documentation of
changes
o Management of change requests following a defined “Change Request
Mgt.
Process”
o Monitor and document budget incl. documentation of changes
o Ensure compliance and risk control and emergency plans as well as
respect of health & safety guidelines on spot
o On site execution including vendor, staff and client coordination,
cost control, trouble shooting, last minute changes or VIP services
o After event debriefing with clients, vendors or staff
o After event monitoring of KPIs , customer satisfaction, payment
supporting documentation etc.
- Guidance of event manager for lesser complex events
Requirements Description
- Bachelor degree in Travel or Event Management, in Business
Administration, Marketing or similar (e.g. similar experience in hotel
industry)
- More than 5 years experience in the Event Management Area (or
close areas loke marketing, communications..)
- Experience in organizing bigger and complex events preferable
healthcare events
- Destination know-how and industry knowledge and good understanding
of travel and congress service providers
- Good knowledge of Bayer and Bayer products and preferable of
healthcare industry
- Very good organization, administration, negotiation, communication
and coordination skills
- Seniority and ability to coordinate and lead projects , experience
in project management
- High degree of flexibility, ability of trouble shooting and
problem solving
- Team player and high service orientation
- Ability to work under pressure and stress resistance
- Cost and quality consciousness
- High sense of compliance respect and knowledge of Pharma Codes,
knowledge in event health & safety guidelines
- Constructive conflict management
- High Travel availability
- Fluent in English
- MS Office , event tools
