Summary: The role of the receptionist is to handle all incoming telephone calls and walk-in inquiries in a confident and professional manner, and to provide value-added administrative support. We are interested in candidates with strong interests in administrative support work and the potential to progress internally within the company. The receptionist also assists with supporting the project teams as needed.

Primary Position Responsibilities:

Answer switchboard, screen telephone calls, and take messages promptly and professionally
Change main door access code as necessary
Maintain staff directory
Act as a professional interface with clients
Ensure smooth and timely communication between staffs and clients
Handle daily administration assignments, procurement and inventory management of office supplies and consumables, including processing payment to those vendors
Oversee the reception area, pantry, and conference rooms, and maintain their upkeep
Book air tickets, train tickets and hotel reservations for all staff
Handle postal and courier arrangements
Distribute mail, faxes and newspapers to staff
Coordinate account set-up and management of conference calling vendor services
Assist with maintaining and troubleshooting telephone/voice mail issues
Coordinate maintenance of office machines including fax machines, copiers, printers and postage machinery
Order business cards, undertake typing work when necessary and other tasks as required by the Office Manager
Maintain list of office reference materials, such as newspapers, publications, and other online subscriptions and keep track of such expenses and renewal dates
Assist project teams with support services as required

Qualifications and Standards:
Education: BA required, English major preferred
Experience:

1 + years relevant experience preferred;
Excellent written and oral English and Mandarin skills;
Operating knowledge of MS Word, Excel, PowerPoint and MS Outlook
Independent in handling general office administrative duties
Strong interpersonal & communication skills, high attention to detail
Ability to multi-task
Professional demeanor
Maintain confidentiality
