Job Description:

The primary responsibilities of this position are to further develop our internal-facing publishing systems to support STM Journals' strategy. The successful candidate is technology savvy, can balance the needs of different (internal) customers and can translate customers' requests into functional specifications.
The Application Specialist will have primary responsibility for supporting and developing the Special Issue Database (SID) and Sharepoint/eRoom and will have shared responsibility for support-ing Journal Contact Information (JCI), the Publisher Network Tool (PNT) and Salesforce. This includes extensive interface with internal customers to define system requirements, specifications and schedul-ing. The Application Specialist will also be responsible ensuring on-time delivery of releases and will act as the liaison between the users and the IT development partners.


Background:

SID is the primary tracking, management and reporting tool for special content (e.g. Special Issues, review articles); the major user group being Content Development Managers and Publishing Content Coordinators. Users continuously update SID with the changing status of special content e.g. new idea proposed for special content, contracted, in production or published.
eRoom and Sharepoint are collaboration and file-sharing tools, used by STM Journals staff in multiple locations.
JCI is the central database containing the addresses and personal information of the editors, editorial board members and other important contacts. The major user groups are Publishing Assistants and Publishers. When entered in JCI, editors are sent access codes for ScienceDirect to allow them to act as ambassadors for the system. These codes are created in the SD customer system and migrated into JCI.
PNT is a networking and knowledge sharing tool for Publishers. It allows Publishers to quickly search and store details of their complete network, including contact and trip reports. PNT can provide quick insight into additional information we have on our contacts (pulled in from various systems such as JCI), including related notes and knowledge.
Salesforce.com is a well known CRM product (SaaS). It is used by commercial Sales staff and Sales Operations to track their sales activities and customer interaction and sales pipeline.

External: IT development supplier.


Key Result Areas:

KRA 1: System Maintenance & Development

Interface with the customers/users, to develop concrete short and long term system requirements
Create ScienceDirect access codes and import into JCI
Following the lead of the Product Manager, decide on content, dates and timing of new releases
Ensure requirements for new developments are clear and unambiguous
Drive the process to get agreement on actual content of releases
Validate functional requirements as written by the IT supplier
Manage progress of releases, with attention to resources and budget
Within limits set by the Product Manager, monitor spend on external IT development partner

KRA 2: System Delivery, Performance and Reporting

Work with the IT supplier to successfully deliver new, enhanced releases of the systems in a timely and cost effective manner.
Responsible for monitoring and reporting progress of development.
Manage the actual implementation of the release: test scripts, user acceptance testing, processes & training
Build complex reports and deliver to the business stakeholders
Initiate and assist the Product Manager in data projects: clean-up / import / export / migration
Coordinate the project to consolidate and migrate data from the two current file-sharing systems into one shared system

KRA 3: Communication, Training & Collaboration

Maintain regular contact with the key user groups and set up regular meetings to discuss issues & CRs
Ensure a timely and to-the-point communication towards the users of applications
Keep users informed in case of system downtime (unplanned and scheduled)
Liaise with other members of Publishing Services and publishing staff to ensure their needs are trans-lated into optimal systems and tools.
Point of contact for internal and external IT development partners
Develop training materials for new releases & deliver training to new staff

Educational level and experience

University degree in science or technology
2-3+years relevant working experience
Demonstrated achievements in system support & development
