Executive Assistant
Why hire?
This is a key role we need to provide daily administrative and support to Managing Director (Greater China ) on business issues with base location in Beijing.
What ‘s the opportunity meaning to you?
You will have the opportunity working in the professional MNC environment to support and learn from the managing director who was leading the overall Elsevier China business across product & technology, sales & marketing as well as services to advance Science, Technology and Health in China. You’ll also have the opportunity to enhance communication throughout local and global team in the daily job or any specific project assigned to you.
What’s the job responsibilities?
Daily assistant and administrative support (70%)
Manage MD’s calendar, meeting schedule; correspondence checking and follow up;
Arrange business lunch/dinners, travel/accommodation, air tickets, airport pick up, invitation letter and visa, monthly expenses report, etc.;
Document filing and business card recording;
Translation and interpretation as per needed;
Coordinate internal/external meetings/visits;
Play as the focal point to liaise and communicate for senior executives’ visiting to customers and provide logistic support;
Be contact point with identified external vendors e.g. CTRIP travel agency
Be contact point for internal functions for e.g. Global procurement, others
Monthly Updating of Org. Chart
Help Facilities Department by providing oversight to their staff and projects
Review of local documents before signing by MD
Support on organizing company activities such as annual kick-off meeting, team building activity, outing activity
Other business or private issue as per required.
Business support when required (30%)
Supporting and ensuring smooth operation of China Management team (for e.g. Group meeting co-ordination, agenda setting, meeting minutes and follow up on action needed)
Preparation of documents and information required for MD’s internal and external meeting or events
Projects assigned by MD from time to time
Our requirement & expectation on YOU
Fluent English communication skills in both writing & speaking;
Good computer knowledge and skilled at Microsoft Office, e.g. Word, excel, PP.
5 years+ experiences at similar role in a MNC culture;
A proactive team player, tactful and diplomatic whilst being strong, with the flexibility and initiative to adapt to the changing requirements of the job.
Strong sense of integrity and ability to safe guard confidential information
Detail oriented. Able to manage several tasks simultaneously.
Able to work with initiative and minimum supervision.
Good planning and organizational skills.
Good sense of strategic management
Cheerful, friendly and pleasant disposition.
Professional appearance and manner. With a customer focused approach – both internal (i.e. staff) and external (i.e. visitors) customers.
