Responsibilities
? Handle of all the admin work in the office and IT work support
? Welcome all visitors in a professional and courteous way.
? Conference room management (booking/equipment check/stationery refill)
? Shared responsibility of client reception, greeting and catering (tea, coffee, etc.)
? Make hotel reservation for office staff
? Book air/train tickets for office staff
? Stationary management including distribution and stock management
? Assist vendor management, arrange local and international express mails
? Inventory list management
? Maintenance office facilities in a good condition
? Assist in travel arrangement
? Visa application for management team
? Process reimbursements for GMD
? Program coordination responsibilities (~30% of time):
? Manage and maintain the cohort’s learning management system (LMS)
? Coordinate the printing and delivery schedule of the learning materials as per the program schedule
? Consolidate the results of the participants’ feedback forms
? Manage hotel and flight bookings for relevant program-related travel
? Assist the program lead in program management and coordination with relevant parties (Internal staff, CIPS, client, trainers and service providers)
? Other program-related tasks as needed
? Other tasks as required by the company
Requirements
? College degree or above
? 2 years or more administrative / program coordination job experience
? Strong working knowledge of Microsoft Office (MS Word, Excel, Power Point)
? Standard Mandarin, no local accent
? Good command of English (listening, speaking and writing)
? Good communication and interpersonal skills
? Ability to handle complex situations flexibly
? Organized with the ability to handle a variety of tasks, sometimes simultaneously
? Professional and pleasant manner
? Strong teamwork spirit
