Position accountabilities
Diary and Meeting Management
? Provide timely, effective extensive diary management by prioritising and organising meeting with internal and external stakeholders throughout Asia Pacific region
? Brief CEO on daily issues and provide resolution where possible
? Ensure flow of daily operations in the business during CEO absence
? Assist in managing CEO’s day to make best use of time available
? Act as a ‘gate-keeper’ through understanding the requirements/ demands of the CEO and through this understanding; decide which scheduled events, meetings and calls are most appropriate for allocation of the CEO’s time
? Brief, coordinate and provide all key documents to the CEO to ensure all relevant information is provided prior to appointments, meetings, video/teleconferences
? Set, monitor and maintain deadlines
? Assist with presentations as required
? Preparation of meeting Agendas and recording and distribution of meeting minutes
Reporting
? Prepare, collate and distribute reports within required timeframes
? Ensure all outgoing correspondence, reports; submissions and briefings submitted to the CEO conform to presentation, style, format and content protocols
? Collation of monthly report for Asia Pacific region if needed
Professionalism and Confidentiality
? Maintain a high level of confidentiality in all dealings with the CEO both professionally and personally
? Safe keeping and systematic storage of the CEO’s files and records, with a high standard confidentiality
? At all times act as the ambassador for the CEO’s office
Team Work /Project Management
? To take a daily involvement in the CEO’s tasks/ projects
? Work as an integral part of the Greater China Team to attain the required objectives of the CEO
? Be prepared to assist other members of the organisation as required or requested
? Point of contact for all CEO’s direct reports and management team
? Liaise closely with other Personal Assistants/Executive Assistants within business
Travel and Event Coordination
? Coordinate and organise high level executive/ client events, meetings, workshops, seminars and related forums including arranging attendance of participants, venue including parking, transport and catering where appropriate and preparing and distributing relevant documents
? Proactively research new restaurants, venues etc
? Extensive co-ordination of all international and local travel arrangements
? Preparation of detailed itineraries and appropriate distribution if/when required
? Preparation of visa’s as required and monitor validity of visas
? Order foreign currency in a timely manner prior to international travel
? Reconcile travel bookings performed by the Travel Management provider to ensure compliance with the travel policy and contract
Administration Support
? Follow-up of all incoming mail and subsequent delegation to Regional CEO’s etc
? Maintain CEO’s various memberships
? Personal expense reconciliation
? Provide a full range of administrative support services, including filing and records management; faxing, mail, maintenance of registers/ databases, stationery ordering, photocopying, compilation of manuals and reports
? Other miscellaneous administrative tasks and tasks as directed by the CEO
Required Qualifications
? Fluent in both oral and written English and Mandarin;
? Ability to act with tact and discretion
? Minimum of five (5) years previous experience in an Executive Assistant role
? Demonstrated experience in secretarial or administrative support; including email and correspondence management and diary arrangements
? Strong & assertive communication skills
? Accomplished interpersonal & relationship building skills with a proven ability to influence managers within the business
? Excellent time management & organizational skills
? Proficient computer skills with strong skills in MS Office (Excel, Word, PowerPoint etc);
? Ability to work under pressure and meet deadlines;
? Ability to work independently;
? Proactive attitude towards work, with strong problem solving skills & the ability to take initiative on tasks without having to be asked
? Ability to think logically in structuring a document or implementing an action plan
