Basic Function / General Description:
? Lead overall office administration management;
? Support on HR administration stuff;
? Overall management of office Non-productive purchasing stuff;
Duties, Responsibilities & Authorities:
? Work with HR and Receptionist for the overall office administration management.
? Manage the office facilities and consumables to assure a convenient access e.g., office assets management, IT assets management.
? Coordinate and superintend with office administration suppliers to ensure their service /product meet the company’s business operational requirement.
? Work as the contact with Jinqiao Zone property management for any events and ongoing issues and any payment.
? Develop and improve the process and standards for using office facilities in new employee on boarding process about administration and IT preparation. e.g. computer configuration, G-net calling card, IP card, printer usage guidance.
? Assist SSI Leader on a daily basis including but not limited to event and schedule arrangement & management.
? Lead the visitor arrangement, vehicle daily management and monthly payment for the office expense.
? Provide the administration support to the employee activities, e.g. annual party, employee outing, employee sports, etc.
? Operational Excellence in Financial performance in office expenses, e.g. annual office expense plan, the latest estimates (LE) of monthly office expense.
? Coordinate with other entities in China and worldwide headquarter.
? Other administration or secretary tasks assigned as necessary.
Accountability & Measures:
? Accuracy and efficiency of office admin stuff management;
? Satisfaction rate from both internal and external customers;
Work experience & skills requirements:
? Experience: At least 2 years’ administration working experiences in Multinational Company.
? Language: Excellent in written and oral English
? Computer Skills: MS Excel, PowerPoint
? Other Key Competencies: High working efficiency and strong sense of responsibility. Pleasant personality, patient, persistent, self-motivated and organized.
? ? Excellent people interaction and communication skill at all levels coupled with the ability to contribute in an effective and efficient way
Educational Requirements
Education: Bachelor degree or above, English Major preferred.
